Admin permissions on your Relay Account (team members with limited permissions can view or approve, not edit)
The bill you want to edit sitting in your Unpaid tab, synced from QuickBooks Online or Xero
A connected Bill Pay integration with QuickBooks Online or Xero
How do I edit a bill from the Unpaid tab?
Open the bill in Relay, update the fields you need, and save. Your changes sync back to QuickBooks Online or Xero automatically.
Sign in to Relay and go to Bill Pay.
Open the Unpaid tab.
Click the bill you want to edit.
Update the amount, due date, or internal notes.
Click Save. Your changes sync to QuickBooks Online or Xero within a few minutes.
What can I edit on a bill?
You can update the amount, due date, and internal notes on any unpaid bill. Notes flow back to QuickBooks Online or Xero, so both systems stay in step.
Amount: update if the vendor invoice changed after import
Due date: shift the payment date without touching the vendor record
Internal notes: memo lines that mirror to your connected accounting software
Which bills are read-only?
Bills marked Paid or Marked as Paid cannot be edited. Once a payment posts or is recorded, the bill locks so your audit history stays intact.
Paid bills lock after the payment settles
Marked-as-paid bills lock when a team member records the payment outside Relay
Approved bills stay editable for admins but appear view-only to limited-permission team members
Do my changes sync back to QuickBooks Online or Xero?
Yes. Every saved edit pushes to the connected accounting platform, typically within a few minutes.
If a sync does not land, reopen the bill, confirm the integration is still connected under Settings, and click Save again.
Who on my team can edit bills?
Only admins can edit approved bills. Team members with limited permissions can view or approve depending on their role, but cannot change bill fields.
To adjust who has edit access, an admin updates the role under Settings > Team members.
Common issues
The bill will not save: confirm the amount is greater than $0 and the due date is a valid calendar date
Edits did not sync to QuickBooks Online or Xero: reopen the bill, confirm the integration is still connected under Settings, and click Save again
Edit fields are grayed out: the bill is Paid, Marked as Paid, or your role does not include edit permissions
The edit option is not showing yet: bill editing rolls out in stages, so contact our Customer Experience team if you do not see it on your account
