How to Switch Your Business Financial Management to Relay

This checklist walks you through switching your business finances to Relay, covering deposits, cards, invoicing, and every connected business tool that needs your new account details.

What you need before you start

  • An open Relay Account (checking, with optional savings)

  • A list of customers, vendors, and business tools that currently have your old account details on file

  • Access to your payroll platform, payment processors, and accounting software

  • Card details for any pre-authorized subscriptions or vendor charges

How do I move my deposits to Relay?

Send your new Relay account and routing numbers to anyone who pays you by ACH or wire so their next payment routes correctly.

Here's a template you can copy and send:

Hi [Customer Name],

I've moved my business accounts to Relay. Please update the payment details you have on file for [Business Name] to my new account:

[Business Name, account number, routing number]

Can you confirm this is updated on your end by [date]?

On the web:

  1. Sign in to your Relay account

  2. Go to the Accounts tab

  3. Click the checking account you want to receive deposits into

  4. Click the copy icon beside your account and routing numbers, then paste them into your email

On the mobile app:

  1. Sign in to the Relay app

  2. Go to the Accounts tab

  3. Tap the checking account you want to use for deposits

  4. Tap Share account info, then tap the copy icon beside your account and routing numbers

How do I open and fund my Relay Account?

Get your accounts, money, and cards in place before you start updating outside tools:

  1. Create your checking and optional savings accounts

  2. Add money to your Relay Account from your previous institution

  3. Order Relay Visa® Debit Cards for yourself and any team members who spend on the business

  4. Set up a backup account so a card doesn't decline if the primary account runs low

How do I update my account details across business tools?

Every tool that stores your old account and routing numbers needs your Relay details instead. Work through this list:

  • Payroll platforms (Gusto, ADP, Rippling)

  • E-commerce platforms (Shopify, Etsy)

  • Payment processors (Stripe, Square, PayPal, Venmo Business)

  • Bill pay tools (Bill.com)

  • Tax agencies and 1099 contractors (IRS, state agencies, individual contractors)

How do I set up bill pay and expense management?

Relay's built-in bill pay and expense management tools handle outgoing payments with approvals, audit trails, and receipt uploads in one place. Set it up by:

  • Creating and sending bills to vendors through Relay

  • Uploading receipts or documentation for every expense

  • Inviting team members and assigning cards with spending limits

  • Setting approval workflows for bills and reimbursements

Connect Relay to Xero or QuickBooks Online to sync payment records with your accounting software automatically.

How do I move pre-authorized card transactions?

Update every vendor that charges your old card on file, whether the charge is recurring or occasional. You can issue as many physical and virtual Relay Visa® Debit Cards as you need, and they work anywhere Visa cards are accepted.

Once your cards are active:

  1. List every vendor that charges your old card (monthly utilities, software subscriptions, marketplaces like Amazon)

  2. Log in to each vendor's account and replace the card details with your new Relay card

  3. For subscriptions on annual billing, note the renewal date so you can confirm the charge lands on your Relay card

How do I switch incoming payments to Relay?

Send new payment details to every client on a recurring invoice, then move your ongoing invoicing into Relay:

  • Update client invoices and recurring payment records with your Relay account details

  • Notify customers of your new payment info

  • Use Relay Invoices to send professional, branded invoices that accept ACH, card, or wire payments directly into Relay, with automated reminders and real-time status tracking

  • Use Quick Requests for simpler one-off payments collected via email or link, no invoice required

How do I get more from Relay after switching?

Once your deposits, cards, and invoices are in place, use the rest of the platform to organize your money:

  • Set up savings accounts to plan for taxes, payroll, or growth

  • Use sub-accounts to organize money by project, department, or revenue stream

  • Review cash flow by viewing expenses, bills, and receivables in one place

  • Invite your accountant or bookkeeper with tailored permissions

Common issues when switching

  • A vendor still charges your old account after the update. Log back into the vendor portal to confirm the new card or account details saved. Some vendors require a second confirmation step or a small test charge.

  • A payment landed in the wrong account. Confirm the sender received your updated ACH/routing details. If the payment routed to your old institution, contact the sender directly to reissue.

  • You can't find your account and routing numbers. In the Accounts tab, click the checking account you want to use, then tap Share account info on mobile or click the copy icon on web.

  • A card is declining on a recurring charge. Set up a backup account so payments pull from a second account if the primary one runs low.
