How to Use Product and Service Catalogs in Relay Invoices

A catalog stores your commonly billed products and services so you can add them to any Relay invoice in one click instead of re-typing line items.

What you need before you start

  • A Relay Account with access to Invoices

  • The item details you want to save: name, description, and unit price in USD

  • Optional: a price list to import as a CSV, image, or PDF file (up to 5 MB)

What is a catalog in Relay Invoices?

A catalog is a saved list of the products and services your business sells, stored inside Relay Invoices. Each item holds its own name, description, unit price, tax setting, and optional image, so you can drop it onto an invoice without re-entering the details every time. You'll find the catalog in the Catalog tab inside Invoices.

How do I add a catalog item?

You can add a new catalog item from the Catalog tab in nine steps:

  1. Open Invoices in your Relay Account and select the Catalog tab.

  2. Select Add item.

  3. Enter the item name as you want it to appear on invoices.

  4. Choose the item type: Service, Inventory, or From inventory.

  5. Add a description of the product or service.

  6. Enter the unit price in USD.

  7. Set the tax rate if the item is taxable.

  8. Optionally add an image (jpg, png, heic, or pdf, up to 5 MB).

  9. Save the item.

The item is now available in the catalog dropdown any time you create or edit an invoice.

How do I import catalog items from a file?

You can bulk-import an existing price list into your catalog from the Catalog tab:

  1. Open the Catalog tab and select Import file.

  2. Upload a CSV, image, or PDF of your price list.

  3. Follow the prompts to confirm the item details Relay pulled from the file.

  4. Review the imported items.

  5. Select Add to catalog to save them.

Importing works well when you already keep a spreadsheet, order form, or menu of your products and services.

How do I add catalog items to an invoice?

Open the catalog dropdown while creating an invoice, then select the items you want to bill. A single click adds one item as a line item. To add several at once, tick the checkboxes next to each item and use the items-selected toolbar to add them all in one action.

How do I edit or archive a catalog item?

Open the Catalog tab, select the item you want to change, and edit any field, or archive the item to remove it from your active list without deleting your history. Archived items stay on invoices where they've already been used, and you can restore them later if you need them back.

What item types can I choose from?

The catalog supports three item types: Service, Inventory, and From inventory. Choose Service for time-based or non-stock offerings like consulting or repairs. Choose Inventory for physical goods you track by stock level. Choose From inventory for items you sell but don't want to count against your stock when they're billed.

What file formats does the catalog accept?

Catalog images can be jpg, png, heic, or pdf files, up to 5 MB each. Imports support CSV, image, and PDF files. Prices are entered in USD only.

Does the catalog sync with QuickBooks or Xero?

Not yet. Catalog syncing with QuickBooks Online and Xero is on the roadmap for a future update. In the meantime, your invoice totals continue to flow to your accounting tool through the existing Relay Invoices connection, so revenue still lands in the right ledger even without item-level sync.

Common issues

  • Import brings in the wrong item names or prices. Reformat the source file so each row has one item, with clear columns for name, price, and description, then re-upload.

  • Image won't attach. Confirm the file is jpg, png, heic, or pdf and under 5 MB. Re-save or compress the file if it's over the limit.

  • A catalog item isn't showing in the invoice dropdown. Check whether the item was archived. Open the Catalog tab, filter to archived items, and restore it.
